Summary

The Project Administrator (PA) coordinates projects, schedules, and internal and external resources and/or vendors for the flawless execution of projects. The PA oversees and performs administrative functions concerned with a project. This may include calling clients, partners, and vendors, making appointments, doing site visits, preparing reports, and file management. The PM is skilled at getting the best out of the people and projects that he/she oversees. The goal is to ensure that all projects are delivered on-time, within scope and within budget. Nothing leaves our doors unless it is the very best work we are capable of producing.

The PA role serves as a direct liaison between the client and the ruef Design team to ensure the timely and accurate production of client’s documents and materials, communicating specifications and expectations to all areas of production. This involves coordination of multiple projects simultaneously and the ability to provide accurate and detailed instructions in both verbal and written form. Working as an extension of our account management and sales teams it will also be the responsibility of the Project Manager to provide support for new client outreach, assist in external communications, assist in project time recording and time management to prepare monthly invoicing, and managing other client or service provider enquiries.

Job Requirements

The candidate must have a background in business skills, management, budgeting, and analysis. The PA must be detail orientated, capable of multitasking, and proactive. The ideal candidate should have proficiency in the following skills:

Required:

  • Customer service experience
  • Excellent organization skills
  • Experience managing teams and projects
  • A friendly and welcoming “customer is always right” mentality
  • Ability to mitigate and troubleshoot issues
  • Excellent communication and writing skills
  • Proofreading abilities
  • File management and computer skills (PC or Mac)
  • The ability to work with a staff with different personalities and skill levels
  • Microsoft Excel, Word, and Microsoft Teams experience
  • Acute attention to detail capabilities
  • Basic accounting skills

Preferred:

  • Marketing background
  • Bachelor’s degree
  • HubSpot or other CMS/marketing tool experience
  • Google Analytics experience
  • WordPress experience

Responsibilities and Duties

  • Coordinate internal resources and third parties/vendors for the flawless execution of projects
  • Ensure that all projects are delivered on-time, within scope and within budget
  • Developing project scopes and objectives
  • Ensure resource availability and allocation
  • Maintain communications between client and ruef team
  • Develop a detailed project plan to track progress
  • Manage changes in the project scope, schedule, and costs
  • Measure project performance
  • Assist ruef leadership with new client outreach and strategy
  • Manage the relationship with the client and develop new relationships with prospective clients
  • Establish and maintain relationships with third parties/vendors
  • Create and maintain comprehensive project documentation
  • Organize meetings, create meeting agendas as needed
  • Perform administrative duties when necessary
  • Cost and time management for invoicing
  • Mitigate and troubleshoot client issues

digital marketing and social media internship

ruef Design is a Dayton, Ohio-based design and digital marketing firm that specializes in building brands and strategies with powerful messaging, web design, graphic design, video production, motion graphics, and technical animations. We help our clients tell their stories, and highlight their products, processes, and services.

One aspect of our work for our clients and for our own firm is promotion and communication via social media and other digital marketing strategies, including blog writing, public relations, and SEO (search engine optimization) efforts.

In 2023 we are looking to grow our company on multiple fronts including the expansion of digital marketing team. We are looking for a creative individual with a keen sense of modern social media communications. This individual should have proficient grammar and effective and impactful creative writing skills. Please share any experience in digital marketing, social media, and/or writing samples. Photography and graphic design skills are a plus. Basic WordPress and/or SEO knowledge is an additional bonus.

This position would involve helping to develop and organize content for our company and clients, managing social media accounts, scheduling and maintaining social media calendars, attending and collaborating in meetings, continual research into our clients and their industries, time management and file/content management.

We have seen a lot of success in efforts towards original content development and active social media engagement. These efforts are something we recognize as growth potentials and want to continue to build for our company and offer our clients. We would also like to expand our blog writing and public relations abilities for our firm and our clients. This position would involve helping to develop and organize content for all of these communications activities. This position will include the opportunity to collaborate with and learn from art directors, graphic designers, writers, photographers, cinematographers, and web designers.

This is a part-time position with potential to grow into a full-time position. Associates degree preferred; active students, recent graduates, etc., can apply.
